29-Jul-24 – Emergency evacuation procedures: Action Required

Dear All,

The company has been updating our fire and emergency evacuation procedures and have issued the following.

On hearing a fire alarm or receiving an instruction from your supervisors to evacuate the building for whatever reason please ensure you follow the below instructions.  If your line manager/supervisor has not informed you as to where you are to muster please ask them immediately.  There are two muster points noted below.

When evacuating the building please:

  • Use your nearest fire exit (this should be level 0 front door in the first instance, if the stairs are blocked then ascend to the roof or if in the basement levels use the ramp to exit by the rear)
  • Staff SHOULD NOT use the elevator or try to re-enter the building until instructed to do so by either RJM or LCD.
  • Staff/interns should NOT swipe in/out using your badges – Swipe card access will be used to cross-check for any missing personnel
  • All belonging should be left behind (i.e. do not take bags)

On exiting you are to Muster at the Muster point in:

  • an orderly and quite fashion to await for a roll call to be taken by your appointed Roll Caller (noted below).
  • Muster by department – this is not an opportunity for a chat
  • Pay attention to the Primary Roll Caller and listen for your name
  • Do not stand in the road or next to the office (even if its shady)

As noted in the training there are two muster points – one directly in front of the building across the road (where staff go to smoke) and one up the road to the right (see below).  As Primary roll caller please decide where you want your team to muster and inform them and Thomas (Cc’d) accordingly so he can update our records.

As Primary roll caller on your exit you will find a PINK Leaver Arch file on top of the post box – DO NOT REMOVE THIS FROM THE BUILDING.  Inside contains a number of coloured folders with the roll call lists for each level and/or department.  The files are colour co-ordinated according to department as highlighted in the below, Roll callers (primary and Secondary) have also be noted below.  On exiting the building, please collect and remove only the roll call folder unique to your department, it will contain a pencil for you to mark off who is present.  Add the date and time of the evacuation to the top of the sheet (as indicated below) and then mark with a tick or a cross against accounted and unaccounted staff. You will receive a WhatsApp message from ICT with a list of all staff who were present in the building at the time of the alarm – use this to check for unaccounted staff.

Any staff unaccounted for i.e. were noted to be in the building but are not outside, flag to one of the Fire Marshal’s/Emergency Co-ordinators (RJM/LCD) with the location of where they are based – this will be relayed to the CPD in the event of a real fire.  Please then try to contact the unaccounted staff via mobiles where possible and keep the fire marshals updated.
